Meeting Minutes

May 3, 2007

The meeting was called to order at 7:35 pm by Mr. Paul Shawver.

Minutes

The Minutes from the March 1, 2007 Orchestra Booster Meeting were approved and are posted on the Groves Orchestra website.

Anita Jursek announced her resignation as Secretary. Ms. Barbara Nicholls will replace Ms. Jursek as the GOB Secretary beginning fall 2007.

Treasurer's Report

The Treasurer’s Report for February 2007, and March/April 2007 was distributed. There is currently $907.92 cash on hand.

The last Max & Erma’s fundraising dinner did not produce enough sales to create funds for the Groves Orchestra Booster Club, but Max & Erma’s did donate four $10 gift cards. Mr. Shawver will determine the best use for the gift cards with the orchestra.

Lori Sterling proposed that Microsoft Quicken be purchased for the use of the GOB Club. By purchasing the software for the club, it would remain the property of the GOB and could be used by anyone who assumes the position of Treasurer. The proposal was unanimously approved, and Lori will purchase the software in May 2007 and pass it on to the incoming GOB Treasurer.

There will be a car wash on Saturday, May 12 from 10am-2 pm, with proceeds benefiting the GOB.

The Groves Spring Concert is scheduled for Tuesday, May 22 at 7:30 pm. Students are to wear their orchestra uniforms. The Spring Concert will include the Symphony Orchestra, Concert Orchestra, Electronic Strings, and the Berkshire 8th Grade Orchestra. Rehearsal for this concert is scheduled for Monday, May 21 from 7-9 pm.

The Groves Orchestra Banquet is scheduled for Wednesday, May 23 at 6:30 pm. at Glen Oaks Country Club. Orchestra students and their parents are encouraged to attend. Reservation forms have already been distributed.

Strings Camp for fall 2007 has been scheduled for September 28-30, 2007. Strings Camp will once again be at Camp Copneconic. Parent chaperones are needed, and camp fees for chaperones will be covered by the GOB. Please contact Mr. Shawver if you are interested in volunteering as a chaperone.

The Groves Symphony Orchestra will play at Groves Commencement exercises on Sunday, June 3.

Mr. Shawver intends to make application for the Groves Symphony Orchestra to play at the Michigan Music Conference in Grand Rapids, Michigan on January 28-29, 2008. This is a professional development conference that includes string teachers from throughout the state of Michigan. If selected, it would be a high honor for the orchestra and Birmingham Public Schools to play in front of this very discerning audience.

Next year, the Winter Orchestra Concert will be scheduled for early December 2007, and the Spring Concert will be scheduled the third week of May 2008. Exact dates will be determined later.

The Groves Orchestra is tentatively planning a trip to Disney World Florida during Midwinter Break 2008. The trip details are currently being reviewed by BPS administration.

Fundraising

Orders for orchestra spirit wear have been received and will be available for student pick up in mid May.

Other Business

The 2007-2008 GOB officers were announced as follows:

Fundraising / Fundraising Committee – Open

In addition, Linda Diehl as assumed the responsibility to manage the GOB website; and Ann Sabourin has agreed to handle communications with the Falcon Flyer and concert programs. Anyone interested in the Fundraising position, or developing a Fundraising Committee, is encouraged to talk with Mr. Shawver or Vickie Edwards.

The next meeting will be scheduled in September/October 2007.

March 1, 2007

Treasurer's Report

In the Treasurer’s absence, no details were discussed.

Mr. Shawver

DSO clinicians have been rescheduled to visit Groves and conduct sectionals on Monday, March 5. The DSO clinicians had to be rescheduled due to a BPS snow day in February.

Fundraising

Extensive discussion occurred regarding spirit wear clothing for the Groves High School Orchestras. The existing logo design requires minor modifications, and then the clothing items will be bid out for production. Clothing items will likely include a zipped hoodie, T-shirt, and polo shirt. If production minimums allow, each clothing item will be available in male and female cuts, the standard “Groves green” and also in gender specific colors, such as royal blue for men and pink for women. Orders for spirit wear will be available this semester.

Other Business

The Groves Graduation Committee sent us a lovely note acknowledging our donation to the Senior Party.

The next meeting is scheduled for May 3, 2007 at 7:30 pm in the Orchestra Room.

January 16, 2007

The meeting was called to order at 7:38 pm by Mr. Paul Shawver.

Minutes

The Minutes from the November 2, 2006 Orchestra Booster Meeting were approved and have been posted on the Groves Orchestra web site.

Treasurer's Report

The Treasurer’s Report was distributed and is attached. The Orchestra Booster Club currently has $3,732.27 cash on hand. Ms. Lori Sterling announced her resignation as Treasurer, effective at the end of this school year.

Mr. Shawver

The Orchestras have many upcoming activities:

  • Solo & Ensemble, Saturday, February 3
  • DSO Sectionals, Monday, February 5
  • Pre-Festival Concert, Wednesday, February 7, 7:30 pm (includes 8th Grade Orchestra)
  • Festival, Saturday, March 10

DSO clinicians will visit Groves to conduct sectionals on Monday, February 5, 2007. Visiting clinicians include Mr. Hai-Xin Wu, Mr. Joseph Striplin, Ms. Caroline Coade, Ms. Marcy Chanteaux and Mr. Maxim Janowsky. These DSO sectionals are funded in part by the PTSA Student Activity Grant and the Village Women’s Club of Beverly Hills. Many thanks to these organizations for making these valuable sectionals possible for our Groves Orchestra students!

There will be a parent information meeting to discuss the Toronto trip on Monday, March 12, at 7:30 pm. A representative from New Horizons will be present to review the itinerary and to answer questions. It is required that each student going to Toronto, and at least one parent, attend this meeting.

New lockers for the violins and violas have been installed in the Orchestra room.

The sounds system for the Electronic Strings Ensemble is in place.

Mr. Shawver will have a student teacher this semester – Ms. Abbey Schneider. Ms. Schneider is completing her educational requirements with the Wayne State Music Education Department.

Fundraising

Continued discussion occurred around the Cookie Dough Fundraiser and how to handle cash donations in lieu of cookie dough purchases.

  • It was agreed that cash donations given to a Groves High School Orchestra student in lieu of cookie dough sales would be applied directly to his/her individual account, to be used for orchestra trips and the orchestra banquet.
  • At Berkshire, all profits from the Cookie Dough Fundraiser are credited to the Berkshire Orchestra 6th/7th grade general fund; only the amount of tubs sold is used to determine the winner of a prize for cookie dough sales. Profits from the cookie dough sales of 8th grade Berkshire Orchestra students are used specifically to fund the 8th Grade Orchestra Trip. Therefore cash donations given to a 6th or 7th grade Berkshire Orchestra student may be credited toward the student’s cookie dough sales record, if the cash donation is at least equivalent to the full retail cost of a tub of cookie dough; cash amounts not equivalent to the full retail amount of a tub of cookie dough would be credited directly to the Berkshire Orchestra general fund.

The Max & Erma fundraiser is scheduled for Thursday, February 8, 2007.

Spirit wear clothing for the Groves High School Orchestra is expected to be available in fall 2007.

President

Due to an upcoming international relocation, Dianne Frank will begin transitioning her responsibilities as President to the President-Elect, Vicki Edwards this semester. Dianne prepared a CD that includes many templates of important communications that occur with regularity, including the calendar, concert programs, submissions to the Falcon Flyer, etc. Ms. Linda Diehl accepted responsibility to maintain the Groves High School Orchestra web page effective immediately.
